Privacy Policy

1. Introduction
The Jetly Cricket Academy Limited ("Jetly Cricket Academy", "the academy", "we", "us" or "our") provides cricket coaching to young cricketers aged 7 to 25 in Wellington, New Zealand. This privacy policy explains what personal information we collect through jetlycricketacademy.com (the "website"), why we collect it, how we use it, whom we share it with, and the choices and rights available to you.

We take privacy seriously, particularly because much of the personal information we collect belongs to children. This policy has been written to comply with the Privacy Act 2020 (New Zealand).


By using this website, submitting an enquiry, or enrolling in a session, you agree to the collection and use of information as described in this policy. If you do not agree, please contact us before submitting any personal information.


2. Whom This Policy Applies To
This policy applies to:

  • Visitors to our website;

  • Parents, guardians and caregivers who make an enquiry or enrol a young person in coaching;

  • Young cricketers who make contact directly — many of our younger athletes find us before their parents do; and

  • Any other individual whose personal information we collect in connection with the operation of the academy.


Where we refer to "you" in this policy, and you are under 18, this policy applies to you and, where relevant, to the parent or guardian responsible for you.


3. Information We Collect
We collect only what we need to run the academy and respond to you helpfully. We collect information in three stages.


3.1 First contact — the enquiry form
When you make an enquiry through our website enquiry form, we collect:

  • Whether you are the player or a parent/guardian filling in the form;

  • Your name;

  • The player's first name;

  • The player's age;

  • Email address;

  • Phone number (optional);

  • The type of session you are interested in — one-to-one, small group, group, or not sure; and

  • Any additional message you choose to include.
     

3.2 Second stage — once a session is agreed
Once a family decides to proceed with a session, we ask for additional information before the player's first session. This information is more sensitive and is collected only after you have committed to coaching, never at first contact. It includes:

  • Medical conditions, allergies and any medication the player may need during a session;

  • Emergency contact name and phone number;

  • Consent for photography and video of the player during sessions, including whether that consent is given or declined; and

  • Acknowledgement of our cancellation policy.


We currently collect this second-stage information using the same Wix-based form technology as our enquiry form. If this changes to a paper-based or other digital process in future, we will update this policy.


3.3 Information collected automatically
When you visit our website, some information is collected automatically through cookies and similar technologies, including:

 

  • Your IP address and general location;

  • The device and browser you are using;

  • The pages you visit and how you interact with them; and

  • How you arrived at our website — for example, from an Instagram or TikTok link, or a Google search.

4. Why We Collect Your Information
We collect personal information for the following purposes:

  • To respond to your enquiry and arrange a coaching session;

  • To run coaching sessions safely, including having the medical and emergency contact information we need if something goes wrong;

  • To communicate with you about sessions, scheduling, and any changes;

  • To take and use photographs or video where consent has been given, for use on our website and social media;

  • To understand how people use our website and improve it; and

  • To meet our legal obligations, including our safeguarding responsibilities to the young people we coach.


We do not use your information for anything beyond these purposes, and we do not sell personal information to anyone.


5. Children's Personal Information
Many of the people we coach are under 18, and some are under 13. We take extra care with this information.

  • Where a young cricketer makes an enquiry themselves, before their parent or guardian is involved, we will always seek to involve a parent or guardian before a session is booked or any second-stage information is collected.

  • We do not knowingly collect more information about a child than is necessary to coach them safely.

  • Medical, emergency contact, and consent information is used only to run sessions safely and is not used for any marketing purposes.

  • A parent or guardian may ask to see, correct, or have us delete any information we hold about their child at any time, using the contact details in section 12.


6. Cookies and Online Advertising
Our website uses cookies and similar technologies, including Google Analytics and advertising pixels from Meta (Facebook and Instagram) and TikTok. These tools help us understand how visitors use our website and allow us to show relevant advertising to people who have visited our website before, on platforms such as Instagram, Facebook and TikTok.


These tools may collect information such as pages visited, time spent on the site, and general location, and may combine this with information collected on other websites you visit. This is standard practice for small businesses advertising on social media, and none of it is linked to the personal or medical information described in sections 3.1 and 3.2 unless you have separately given us that information directly.


You can control cookies through your browser settings, and you can opt out of personalised advertising directly through Meta's and TikTok's own advertising preference tools. Turning off cookies may affect how the website functions.


7. Photography and Video
We take photographs and video during coaching sessions for use on our website, social media and other academy materials. We only do this with the consent of a parent or guardian, collected as part of the second-stage form described in section 3.2.

  • Consent can be declined without affecting a player's place in the academy.

  • Consent can be withdrawn at any time.

  • If a photo or video has already been published and you would like it taken down, contact us using any of the methods in section 12, and we will remove it.

8. Whom We Share Your Information With
Xara Jetly is the only person at the academy who has access to the personal information described in this policy. We do not share your personal information with any other coach, business, or third party, except:

  • Where information passes through the service providers that make our website and forms work — currently Wix.com, which hosts our website and processes our enquiry and second-stage forms (see section 9 for more on where this data is stored);

  • Where analytics and advertising tools automatically collect the browsing information described in section 6 — currently Google, Meta and TikTok; and

  • Where we are required to disclose information by law — for example, to Police or Oranga Tamariki in a genuine safeguarding concern.

We do not sell, rent, or trade personal information to anyone for any purpose.


9. Where Your Information Is Stored
Our website and forms are built on Wix, which stores data on servers that may be located outside New Zealand. This means your personal information may be processed and stored overseas, where privacy laws may differ from those in New Zealand.


Wix maintains its own security and privacy standards, and we have chosen Wix in part because of the safeguards it has in place. The Privacy Act 2020 requires us to tell you this is happening, so we are doing so.


10. How Long We Keep Your Information
We keep personal information for as long as we need it to run the academy, respond to enquiries and keep players safe, and we do not currently have a fixed deletion schedule. This means enquiry, session and medical information may be kept indefinitely unless you ask us to delete it.

If you would like any information we hold about you or your child deleted, contact us at the details in section 12, and we will action this promptly, except where we are required to keep certain information for longer for legal, insurance or safeguarding reasons.


11. Keeping Your Information Secure
We take reasonable steps to keep your personal information secure, including relying on the security measures built into Wix's platform. No online system is completely secure, and we cannot guarantee absolute security, but we do not knowingly leave personal information exposed or accessible to anyone beyond Xara Jetly and the service providers named in this policy.


12. Your Rights
Under the Privacy Act 2020, you have the right to:

  • Ask us what personal information we hold about you or your child;

  • Ask us to correct any information that is wrong or out of date;

  • Ask us to delete information we hold about you or your child (see section 10); and

  • Withdraw consent for photography or video at any time (see section 7).
